Meetings & Events Trend Analysis

We are pleased to announce the release of the third report arising out of the Meeting & Event Trend Analysis project.

The Meeting and Event Trend Analysis report for the period July-December 2003 has been produced by the School of Tourism and Hospitality Management, Southern Cross University from data gathered from individual Meetings Management organisations, through the software system produced by Amlink Technologies. The undertaking of such a study is a direct result of a research agreement between Amlink Technologies Pty. Ltd, Meetings and Events Australia (MEA) and Southern Cross University to provide valid and reliable research to assist the Business Events industry in its decision making processes.

The report is the third in an ongoing series and is intended to provide an illustration of the depth and breadth of data that is available to the Business Events industry through this method of data collection. The gathering of such information on a regular and consistent basis will assist in identifying and monitoring industry trends. It will provide information that will help Meetings Managers and other industry stakeholder's track and measure their business performance against industry averages, enable them to manage their businesses more effectively and assist in the achievement of business profitability. It is anticipated that the number of Meetings Managers participating in the research will continue to increase as the benefit of obtaining such data on a regular and consistent basis is realized.

The gathering of such data is an excellent example of what can be achieved by the joint cooperation of the various stakeholders of the industry.

The META Half Year Report July-December 2003 provides a range of information on seventy one conferences and exhibitions organised and managed by fifteen Meeting Management organisations in Australia during the period 1 July-31 December 2003.

Almost twenty eight thousand (27858) delegates and over one thousand (1076) accompanying persons attended these events that provided over thirty one million dollars in total conference and exhibition income.

Conference and Exhibition Characteristics -

  • Nearly seventy per cent (69%) of the reported conferences and exhibitions were held by associations of which almost fifty per cent (48%) were domestic association events.
  • Forty four percent of reported conferences were accompanied by an exhibition.
  • An average of 392 delegates, a median of 238 and an accompanying person ratio of 14 per 100 delegates attended a conference and exhibition.
  • 'Medical Science' (20%), 'Industry' (13%) and 'Education' (11%) conferences and exhibitions were the predominant market sectors. 'Medical Science' and 'Industry' attracted the highest percentage of total delegate registrations.
  • September was the most popular conference month with 38% of reported conferences and exhibitions being held in this month.
  • Over fifty percent (57%) of reported events were held in Queensland and New South Wales. Sydney was the most frequently cited destination (23%).
  • The most popular length of time for a conference and exhibition was two days. Domestic association events were predominately of 2-3 day duration.
  • The least popular size for a conference and exhibition was 401-500 delegates.
  • 'Medical Science' events were primarily of 2 and 4 day duration whilst 'Industry' conferences and exhibitions were 2 days.
  • Two thirds of conference and exhibition delegate registrations occurred two or more months prior to the event.
  • Two thirds of delegates paid for their registration by credit card with nearly thirty percent (28%) of registration payment being by the Internet.
  • The mean total conference and exhibition payment received per delegate was A$1081 whilst the mean income per participant day was A$469.
  • A mean of 32 and a median of 20 exhibition stands accompanied a conference.
  • The median number of hotels used for delegate accommodation for an event was four.

Full details of pricing and subscription will be confirmed closer to release of the report for the 6 months to June 2003 (due for release in December 2003). As an indication of pricing, it is planned that the report will be available either by 12 month subscription (ie. 2 reports), or on a one-off report basis.

Message to Meetings Managers and their Clients
For the first two META reports, customers of EVENTS Pro by Amlink will be targeted to participate by providing their data electronically. Over time, we hope to include customers of other events software including Summit produced by MIE.

MEA urges all users of the EVENTS software to participate. This includes not just Meetings Management Companies (or PCOs) but also in house meetings managers.
